Workplace safety checks do not always need to involve a lengthy audit.
A regular walk-through can help identify straightforward problems such as blocked walkways, leaking machinery, damaged equipment or missing inspection information before they become accepted as part of the working environment.
The exact checks required will depend on the site and its risk assessment, but the following 12 points provide a useful starting point for warehouses, workshops, maintenance areas and industrial workplaces.
1. Are walkways clear?
Start with the routes people use every day.
Check for:
- Packaging left in walkways
- Trailing cables
- Tools on the floor
- Pallets extending into pedestrian routes
- Waste waiting to be removed
- Materials stored temporarily in unsuitable places
A route that was clear at the beginning of the shift may look very different several hours later.
Pay particular attention to busy intersections, entrances, workstations and areas where goods are regularly received or dispatched.
2. Are floors clean and dry?
Water, oil, dust and other contaminants can reduce floor grip and create slip hazards.
Look for:
- Leaks beneath machinery
- Wet entrances
- Cleaning residue
- Oil around maintenance areas
- Damaged containers
- Recurring puddles
- Dust or loose granules
Where contamination is found, address both the immediate spill and its source.
Repeatedly placing a warning sign beside the same leak is not a long-term solution.
3. Are spill kits available and stocked?
Check whether spill-control equipment is positioned near areas where spills could realistically occur.
Open the kit where appropriate and confirm that:
- Absorbents are present
- Previous usage has been replenished
- Disposal bags are available
- Contents are clean and dry
- The kit is clearly identified
- Nothing is blocking access
Also check whether the kit type is appropriate for the substances stored nearby.
4. Is access to emergency equipment clear?
Emergency equipment needs to be accessible.
Check that storage, pallets or temporary materials are not blocking:
- Fire extinguishers
- Emergency exits
- First-aid equipment
- Spill-response stations
- Emergency shut-offs
- Electrical isolation points
Areas can gradually become obstructed as stock moves or temporary storage becomes permanent.
5. Are ladders in good condition?
Where ladders or stepladders are used, visually check their condition.
Look for:
- Damaged stiles
- Missing or damaged feet
- Loose steps
- Contamination on rungs
- Damaged locking mechanisms
- Missing labels
- Evidence of unauthorised repairs
Ladders with defects should be withdrawn from use according to the company’s procedure.
Inspection tags can help make inspection information visible, but they should support rather than replace proper pre-use checks and scheduled inspections.
6. Is equipment inspection information up to date?
Take a sample of tagged or regularly inspected workplace equipment.
Check:
- Is the asset clearly identified?
- Is the latest inspection information readable?
- Are inspection dates current?
- Can the physical asset be matched to its record?
- Is damaged equipment clearly quarantined?
This is particularly useful for businesses managing large numbers of ladders, workplace vehicles, scaffold components or other shared equipment.
7. Are damaged items clearly taken out of use?
A piece of equipment marked for repair should not remain available for somebody else to use accidentally.
Check whether the workplace has a clear system for:
- Identifying defective items
- Adding a “Do Not Use” warning
- Reporting the issue
- Moving items into quarantine
- Recording repairs
- Returning equipment to service
The process should be simple enough that employees actually use it.
8. Are tools being stored securely?
Look at benches, platforms, ladders, access equipment and work areas.
Tools should not be left where they can:
- Fall to a lower level
- Create a trip hazard
- Enter moving machinery
- Obstruct access
- Damage finished products
Where tools are used at height, the task should consider dropped-object risks and whether appropriate tool tethering is required.
Check tool lanyards and attachments for visible wear before use and make sure equipment remains within its published load limit.
9. Are isolation points clearly accessible?
Machinery requiring maintenance may need to be isolated from electrical, pneumatic, hydraulic or other energy sources.
During a workplace walk-through, check that:
- Isolation points can be reached
- Labels remain readable
- Lockout equipment is available where required
- Lockout stations are organised
- Damaged devices are replaced
Safe isolation should always follow the site’s established procedure and be completed by appropriately trained or authorised personnel.
10. Are storage areas organised?
Look beyond the main work area.
Stores, maintenance rooms and cupboards can become cluttered because they receive less day-to-day attention.
Check for:
- Unstable stacks
- Heavy items stored too high
- Damaged packaging
- Leaking containers
- Unlabelled substances
- Blocked access
- Mixed incompatible materials
- Waste waiting for disposal
Frequently used equipment should be positioned so workers do not need to climb, stretch or move unnecessary obstacles to reach it.
11. Are waste materials being managed properly?
Waste can accumulate quickly in busy facilities.
Check whether:
- Waste containers are clearly identified
- Hazardous or contaminated waste is separated appropriately
- Containers are not overflowing
- Used spill absorbents are being handled correctly
- Waste is not obstructing pedestrian routes
- Collection arrangements are adequate
The correct disposal route depends on what the waste contains, particularly where absorbents have been used on oils or chemicals.
12. Have employees reported recurring problems?
Some hazards may not be obvious during a short inspection.
Speak to the people who work in the area every day.
Ask whether they have noticed:
- Recurring leaks
- Difficult-to-use equipment
- Damaged tools
- Near misses
- Areas that regularly become cluttered
- Inspection processes that are difficult to follow
- Spill kits that are frequently empty
- Equipment that regularly needs repair
Repeated minor problems are often useful indicators of where a process needs improvement.
Turn the checklist into a routine
A safety check is most useful when findings lead to action.
Consider recording:
- What was identified
- Who is responsible for correcting it
- When it should be completed
- Whether the issue has occurred previously
- When the corrective action was checked
The frequency of workplace checks should reflect the environment and level of risk. A busy warehouse may require certain areas to be checked more frequently than a low-traffic storage room.
